Noise & fixed times

Two settings that mean less inbox: file newsletters away immediately, and check your mail at set times instead of all day long.

File noise away

Newsletters and automated notifications carry an unsubscribe link in their headers, or come from a no-reply address. That is a strong signal the email went to a list rather than to you personally. HeyOtto detects this without using the AI and puts such mail straight into your noise category: no classification, no draft, and for a shared mailbox no notification in your Teams channel either.

That saves on your AI budget. A mailbox that is half mailings used to pay for a full AI pass on every single mailing.

Turn on

  1. Go to Categories, open the category you want newsletters in (or create one), and turn This is noise on.
  2. Go to Settings and turn File noise away instantly on. For a shared mailbox, the same button is on the team screen.
  3. Want that mail out of your inbox too? In the same category, turn Stays in my inbox off and choose a folder.

What doesn't count as noise

An email in a conversation that's already being worked on — you've replied, or it's assigned to someone — always stays handled as normal, even if it contains an unsubscribe link. A confirmation email in an ongoing thread won't disappear. And because the filter stays off until you mark a category as noise yourself, nothing changes as long as you don't touch it.

Set times

With Show my inbox at fixed times you work through a stack that doesn't change while you're at it. By default at 9:00 and 17:00; you pick the hours yourself. Whatever arrives later waits for the next moment — with a counter at the top and a button to show it right away.

HeyOtto is not your email client. Your mail still arrives in Outlook or Gmail; this only changes the order in which HeyOtto shows it to you. Nothing is held back or delayed.
